Early access: connect the first clubs

Fitness club and pool platform:
app, CRM, turnstiles and cash registers

It's your product, not an overlay on someone else's platform.Subscriptions, schedule, coach salaries and QR entry in a single outline, with an app for the client.

Where the club loses money and nerves

Four situations we hear most often from managers of clubs, studios and swimming pools.

  • The account lives in Excel and in the administrator's head.

Subscriptions, freezes, and the rest of the visits are in a file that's run by one person. A contentious situation pops up at the counter, with the client, and it's resolved by memory.

  • Coaches ' salaries are calculated by hand .

At the end of the month, someone puts classes, sales and interest on the chart. The coach can't verify the calculation, and the manager can quickly figure out which coach is actually earning the club.

  • The system is expensive to maintain

A typical program on the 1C platform carries licenses, updates, and an incoming programmer. Any correction to the club's processes is through a contractor and paid separately.

  • Customers have no mobile app

Social media schedule, extension on the stand, plastic card. Between the club visits, there's just no client on the phone, and there's nothing to remind me of myself.

What the platform is made of

Nine blocks that shut down the entire club from the customer's card to the cheque at the box office and the hall report.

The clients

The single profile

Customer card with subscriptions, history of visits and purchases. You can see what the guy bought when he was at the club and what he's doing now.

Subscriptions and services

Set designer

The subscription includes a range of services: one-time and monthly, with or without a visitation limit. The club's new product is assembled from existing services, without a programmer.

The schedule

Halls, swimming pool, coaches

Room service classes, pool trail and coach. The loading of each room is visible for a week ahead, not collected by chat.

Coaches and salaries

Calculate the load

The salary is calculated from the training and the coach's subscriptions. The calculation is up to the line, so you can show it to the coach himself.

The client app

Personal office and purchase

Subscription, schedule and phone recording. Extension and purchase directly in the app, without a visit to the stand.

Access control

QR code entry

The tourniquet checks the subscription at the time of passing: the client displays the code from the application. The platform is integrated with the club's SDU.

The box office

ATOL through the web server

The sale immediately becomes a fiscal check: ATOL's ATMs are connected via ATOL's Web server, without a separate ATM program on the stand.

The Certificate

Gifts

Gift certificate sales and repayment: the name, duration and status are shown in the customer's card and sales report.

Reports

Sales, coaches, halls

Revenue on services and subscriptions, coaching results, loading of halls and swimming pools in the system, not in the monthly table.

It's a single product with a common base. It's not a set of programs linked to the integrator. The client, his subscription, the tour ticket and the cheque from the cash register the links of one data chain.

How does it all work?

One scenario goes through all the modules: the customer buys a subscription on the phone, and the club gets a check, pass and numbers in the reports without manual input at each step.

  1. Purchase in the app

The customer extends the subscription on the phone and pays by card. The administrator is not involved.

  2. Fiscal receipt

The sale goes to ATOL's checkout through ATOL's web server, the customer receives the check.

  3. QR code to enter

The app shows the passcode for the current subscription and its services.

  4. The tourniquet

The SCUD passes by code, and the visit is unsubscribed at the time of passing.

  5. Reports and salaries

Sales and attendance are reported in the services and halls, and the training is paid by the coach's salary.

No step requires hand-transmission: sales, passing and occupancy are recorded where they occurred.

Hardware at reception and entry

The platform is designed for the equipment that the club already has. What's not going to work? Let's just call it before the start of the job, when we're looking at the object.

Access control and turnstiles

QR code input from the app
  • The platform responds to the SCUDA, whether to let the client or not: the right of access depends on the current subscriber and his services
  • The pass logs off the visit and goes into the customer 's history separate journal on paper is not required
  • We're working with the turnips that have already been installed; we're recording the specific controller and protocol on the survey.

ATOL cash registers

Fiscalisation through the ATOL Web server
  • The sale of a subscription, service or certificate is checked from the same interface as the registration.
  • Connection to the ATM via ATOL Web server: no separate ATM program is needed on the stand
  • Online payments in the app are taxed in the same way as sales at the counter

We don't force the equipment. If the club already has turnips and cash registers, we'll connect them; if the club is just opening, we'll help set up the setup for the venue.

How are we different from the usual options ?

There are three ways that clubs are closing this issue today, and what's changing with our platform.

As usual .What changes with AW Fitness
Excel and paper logs

Subscriptions, freezes, and visits live in a file run by a single administrator?

What changes with AW FitnessIt's a system, not a person. The visit is written off at the time of the tourney, the customer's story is collected by itself, and you don't need to drop the tables at the end of the month.
Typical system based on 1C

You pay for licensees, upgrades, and upcoming specialists, and the upgrades go through a contractor?

What changes with AW FitnessWe write the product ourselves. The platform does not require 1C licenses and a specialist on it. The same team that wrote the system is working on the club's processes. If the club's bookkeeping is in 1C, we'll integrate, not move.
A set of separate services

CRM in one service, app in another, SCUD and the cash register live on their own?

What changes with AW FitnessOne outline with a common base.Sales, sales, and occupancy all fall into the same data, so the reports match without downloads and updates between systems.

How the work is arranged and pay

Two parts: subscription to the platform and introduction to a specific club. There's still no publicly available product, and we don't want to name a number that's going to have to be reviewed.

Subscribe to the platform

Fixing the cost to start early accessMonthly payment for a working platform
  • CRM as a whole: customers, subscriptions and services, schedule, coaches and salaries, certificates
  • Client app with personal office, subscription purchase and QR entry
  • Reports on sales, coaching and halls
  • Platform upgrades and technical support
  • Placement and backup copies of the club data

The implementation

By count for the club.One-off work at the start counting after examination
  • Examination of the facility: what halls, services, turnips and cash registers are already available
  • Configuring services, subscriptions and schedules for club processes
  • Integration with ATOL and ATOL ATMs through ATOL Web server
  • Transfer of client base and current subscriptions
  • Training of administrators and accompanying the first weeks

Why isn't there a price on the page? The introduction depends on what equipment is in the club and how many services need to be transferred, and the subscription is still recorded with the first early access clubs. We're going to dig up the object on the phone and send a calculation with specific numbers.

How the implementation goes

The first two steps don't cost a thing, and they don't make a commitment. First, we break down the club, then we call the numbers.

  1. Discuss your club

We'll call and see how the club is set up: the halls and the pool, the services and the subscriptions, what the coaches think, what's at the entrance and what's on the stand.

  2. Assessment and estimate

We'll look at the equipment and current accounts, show you what's on the platform today. We'll send you a draft of the work and a report on implementation.

  3. Setting up the platform

We run services, subscriptions and schedule for the club's processes, transfer the client base and current subscriptions.

  4. Connect the equipment

Integrating with the SCUD and ATOL cash registers: checking the QR code and printing of the cheque directly on the platform, not in words.

  5. Club app

We prepare a client's application for the club and help you publish it in the app stores.

  6. Launch and support

We train administrators and work side-by-side for the first few weeks: setting up the real-life situations on the stand.

Early access clubs influence what the product will look like: the tasks that pop up on the platform are going to be released soon.

Technology and approach

A club platform: one base for all the modules, a client application and equipment exchange on the platform.

  • Vue.js
  • Nuxt 4
  • TypeScript
  • Laravel 12
  • PHP
  • PostgreSQL
  • Redis
  • GraphQL
  • iOS
  • Android
  • ATOL Web server
  • Docker
  • GitLab CI/CD
  • Grafana

The core is on .Laravel 12 + GraphQL + PostgreSQLWith lines on Redis: customers, subscriptions, schedules, and sales are all in one database. The CRM on the rack and the client app go into the same API, so the data doesn't differ between them.

Questions to Ask Before Starting

The platform is under development, open early access. Part of the modules have been assembled, part of it's being built with the first clubs, so we're not promising to implement them in a week. What's ready for today, we'll show you on the phone: no slides, in the interface.

The job consists of subscribing to the platform and introducing it to a specific club. The introduction is calculated after examining the object it depends on the equipment and the volume of the transfer. The subscription number is recorded with the first early access clubs, so it's not on the page yet: we don't want to name a price that we'll have to revisit.

We write the product ourselves, so the platform doesn't require 1C licenses and an on-going specialist, and the club's process development is done by the same team that wrote the system. If the club's bookkeeping is in 1C, we'll integrate, you don't have to move.

It doesn't have to. We're working on what we've found: we're tracking the controller model and the way it's exchanged. If the equipment doesn't support the right mode, let's say this before work starts, not after payment.

The entrance to the club is arranged via a QR code from the app: the platform responds to the access control system, whether you let the client in or not. We're going to record a specific SQUD for the equipment that's in the club.

ATOL cashiers are connected via the ATOL Web server: the sale of the subscription, service or certificate goes to the fiscal check from the same interface where it is registered. Online payments in the app are taxed in the same way as sales at the counter.

A mobile app for iOS and Android plus a personal office. The customer sees the subscription and the schedule, extends and buys, shows the QR code on the tourniquet. Let's take the app store publishing.

Yes, the transfer of the customer base and existing subscriptions is in place. The download format we'll look at in the survey: the more accurate the file is, the less manual work, but we're also good at working with live tables.

Digital studio A&W: We've been developing platforms, web services and mobile apps since 2009. AW Fitness is our own product, not another person's reselling box, so the development and support is the same team.

Configuration, data transfer, and learning are remotely done. Separately, we're discussing work on the platform where you need to physically connect to the tours and the box office.

Let’s discuss your club on a call

We'll show you the platform in the interface, tell you honestly what's ready today and what's being built, and count the implementation to your rooms, services and equipment.

We usually answer within a working day.
